Media arrangements


A. Information

The Grand Duchy of Luxembourg and NATO are organizing ministerial meetings of the North Atlantic Council (NAC), the Euro-Atlantic Partnership Council (EAPC), the NATO-Russia Permanent Joint Council (PJC) and the NATO-Ukraine Commission (NUC). The meetings will take place on 28 and 29 May in Luxembourg at the "Centre de Confrences de Luxembourg-Kirchberg". The Media Centre is set up at the "Hall Victor Hugo" (Limpertsberg).



B. Programme

Wednesday, 27 May

Arrival of delegations in Luxembourg.

C. Media Centre

The Media Centre is set up in the Hall Victor Hugo at Luxembourg-Limpertsberg, one kilometre away from the Conference Centre. Individual working stations at the Media Centre are equipped with modem rigs and power supply plugs. Photocopiers, fax machines, as well as PCs with Internet are available.

Journalists who wish to use ISDN lines are requested to order them with the PTT (Mr Snnen, tel: + 352 4991-5738. Fax: + 352 49 13 21).

Telephones will operate using a PIN code. Codes can be obtained on the spot, at the Info-Point of the Media Centre.

The Media Centre will be open from 12:00 to 20:00 on Tuesday, 26 May; from 10:00 to 20:00 on Wednesday, 27 May; from 7:00 to 24:00 on Thursday, 28 May and from 7:00 to 20:00 on Friday, 29 May.


D. Accreditation

The NATO Press and Media office and the Information and Press Office of the Government of Luxembourg will be in charge of the accreditation of media representatives.

Requests for accreditation must have been received by the NATO Press and Media Office before Wednesday, 20 May, using the attached form.

Press passes can be obtained at the Media Centre from 12:00 on Tuesday, 26 May, on presentation of a valid press card and another photographic proof of identity. Press passes and proof of identity must be produced on request at all times.

All media representatives must be aware of the fact that security personnel will examine and may test equipment and personal effects carried onto the site. To avoid delays, media representatives must arrive early to be able to clear the security checks. Television, radio and wire services that have bulky equipment are particularly urged to move most of it as early as possible into the Media Centre.

The Accreditation desk is open from 10:00 to 18:00 on Wednesday, 27 May; from 8:00 to 20:00 on Thursday, 28 May and from 8:00 to 13:00 on Friday, 29 May.


E. Pools

Due to the high number of media representatives expected to attend the meetings, pools have been foreseen for all media events.

Photographers and cameramen who wish to participate in various pools must forward their request when they check in at the accreditation desk of the Media Centre. The NATO Press and Media office and the Information and Press Office of the Government of Luxembourg will make up the pools when all the requests have been received.

The "Press meeting point" for all pools will be located at the Media Centre. The schedule of departures will be indicated on closed-circuit television at the Media Centre. Special press buses will be available for transportation to and from the Conference Centre. Individual access to the Conference Centre will not be authorized.


F. Accommodation

The Office National du Tourisme (ONT) is in charge of htel reservation for all media representatives.

G. Transport

Access to the Media Centre will be done mainly by special shuttle buses between the Media Centre and the press parking of the "Glacis" (500 metres from the Media Centre). Part of the Glacis parking (+ 300 parking spaces) is reserved for media representatives. Access will be authorized on presentation of the press card.

Media representatives arriving by train or plane are asked to go the Media Centre by taxi or bus (line 4 of the municipal transport network has a bus every 10 minutes for the Media Centre).

Journalists and technicians arriving in Luxembourg with trucks or heavy equipment can access the parking area of the Hall Victor Hugo. These vehicles will have to be in place by 20:00 on 26 May at the latest. For security reasons, vehicles will not be admitted inside the security perimeter after this time.

H. Catering

A dinner will be served on 27 May. Lunches and dinners will be served on 28 and 29 May. Food and drinks will be available throughout the opening hours of the Media Centre.


I. Television and Radio

A television and radio area is set up in the courtyard of the Hall Victor Hugo. This area comprises unequipped working spaces for television and radio. Stand-up positions, feed points for Eurovision and SNG links are foreseen.

J. News Agencies

Nine offices have been reserved for news agencies. These offices will only be equipped with tables, chairs and power supply plugs.

K. Briefing Rooms

Briefing rooms with a 30 to 150 seat capacity are available in the Media Centre.


L. Photo

Development of photo films will be possible throughout the opening hours of the Media Centre.
